Privacy Policy

This policy explains what personal data Florette Relocation Sdn Bhd (“Florette”, “we”, “us”) collects through https://floretterelo.com, why we collect it, who we share it with, and what rights you have over it. It is written to meet our obligations under Malaysia’s Personal Data Protection Act 2010 (PDPA).

For the purposes of the PDPA, Florette is the data user in respect of the personal data described below.

What we collect

We only collect what you choose to give us. We do not buy personal data, and we do not build profiles of visitors who never contact us.

Information you submit through our quote and contact forms

• Your name
• Your email address
• Your phone number, including the international dialling code
• The service you are enquiring about (for example international move, storage, pet relocation)
• Your origin and destination country and city
• Any message or move details you write in the free-text field

Information you submit when applying for a job

• Your name, email address and phone number
• Any CV or supporting document you attach
• Any information you include in your covering message

Information collected automatically

Our web server and our network provider (Cloudflare) keep standard access logs, which include your IP address, browser user-agent, the pages you requested and the time of the request. These are used for security, abuse prevention and diagnosing faults.

Cookies and tracking

We want to be specific here, because most privacy policies are vague about it: this website does not run Google Analytics, Meta Pixel, or any advertising or cross-site tracking cookie.

The only cookies set by our own site are:

• A PHP session cookie, used solely for the password-protected staff area. It is not set for ordinary visitors.
• Cookies set by Google reCAPTCHA in order to tell humans from bots on our forms (see below).
• Cookies set by Cloudflare for security and performance.

Why we use your data, and our lawful basis

• To prepare and send you a quotation — this is the reason you submitted the form, and processing is necessary to respond to your request.
• To carry out a move you have booked — necessary for the performance of our contract with you.
• To meet customs and regulatory requirements — international moves require us to provide shipper details to customs authorities and to our destination agents. This is a legal obligation we cannot opt out of.
• To assess a job application — with your consent, given when you apply.
• To keep the site secure — our legitimate interest in preventing abuse and fraud.

We do not use your enquiry data for unrelated marketing, and we do not sell or rent it to anyone.

Who we share it with

Enquiry and quotation data is emailed to our sales team at sales@floretterelo.com and handled there. Beyond our own staff, your data may be shared with:

• Destination and origin agents — the partner company handling your shipment at the other end. They receive only what is needed to clear and deliver your goods.
• Shipping lines, airlines and freight forwarders — for booking and documentation.
• Customs and government authorities — in Malaysia (Royal Malaysian Customs Department) and in your destination country, as required by law.
• Specialist subcontractors — for example pet relocation specialists, where you have asked us to coordinate that service.
• Our insurer — Berjaya Insurance Berhad, where transit cover is arranged or a claim is made.

Third-party services running on this website

• Google reCAPTCHA — protects our forms from automated abuse. Google receives your IP address and interaction data. Subject to Google’s privacy policy.
• Google Fonts — serves the typeface used on this site.
• Google Maps — the embedded map on our contact page.
• countriesnow.space — supplies the country and city dropdown lists in our quote form. Your selection is sent to look up matching cities; no identifying information is passed.
• Cloudflare — delivers and protects the site.

Transfers outside Malaysia

International relocation necessarily involves sending data abroad. If you are moving to Australia, India, the United Kingdom, the UAE or anywhere else we serve, your details will be transferred to our agent and to the authorities in that country so your shipment can be cleared and delivered. We share the minimum needed for that purpose.

How long we keep it

• Enquiries that do not become bookings — retained for up to 24 months, then deleted.
• Completed move files — retained for 7 years, to meet Malaysian tax, customs and accounting record-keeping requirements and to support any later insurance claim.
• Job applications — retained for 12 months unless you ask us to remove them sooner.

How we protect it

This site is served over HTTPS with HSTS enforced. Access to enquiry email and move files is limited to staff who need it. Our staff area is password protected. No system is perfectly secure, but we take reasonable steps appropriate to the sensitivity of the data.

Your rights under the PDPA

You have the right to:

• Ask what personal data we hold about you, and receive a copy
• Have inaccurate or incomplete data corrected
• Withdraw consent where our processing relies on it
• Ask us to stop using your data for direct marketing
• Ask us to delete data we no longer have a lawful reason to keep

To exercise any of these, email sales@floretterelo.com with “Data request” in the subject line. We will respond within 21 days as required by the PDPA. We may ask you to confirm your identity first.

Note that where we are legally required to retain records — customs declarations and accounting records in particular — we may not be able to delete data on request until that retention period ends.

Children

This site is not directed at children, and we do not knowingly collect data from anyone under 18. Where a move involves family members including children, we process only what the contracting adult provides for shipping and immigration documentation.

Changes to this policy

If we change how we handle personal data we will update this page and change the “last updated” date above.

Complaints

If you are unhappy with how we have handled your data, contact us first at sales@floretterelo.com so we can try to put it right. You also have the right to complain to the Personal Data Protection Commissioner (Jabatan Perlindungan Data Peribadi), Malaysia.
